The main purpose of the role is to provide a high level of an efficient and responsive administrative, organisational and logistical support to the Managing Director and Board of Directors.
 
The Executive PA role will include:
 
Support to the Managing Director:

  • Provide a service that is in line with the MD’s work habits and preferences;
  • Conduct weekly dairy meetings with the MD to discuss upcoming engagement, invitations and other requests as well as provide regular feedback to the MD on any current issues, developments and problems;
  • Ensure that the working potential of the MD is maximised by screening enquiries, being proactive, planning and organising work schedule;
  • Maintain of dairy of the MD as required; arranging meetings, relevant paperwork, making travel arrangements and liaising with venues as appropriate;
  • Provide initial point of contact for MD (internal and external), dealing effectively with enquires and visitors. Resolving problems and make appropriate decision;
  • Ensure that the MD is fully briefed on, prepared for, any engagements he/ she is involved in. Keep and maintain an accurate record of paper and electronic correspondence on behalf of MD as well as keeping and retrieving files;
  • Devise and draft written communications, reports and briefings on behalf of MD
  • Provide secretarial and administrative support to MD and ensure that any guests meeting with the MD are well taken care of;
Support the Head of People:

  • Support the Communication Strategy for the business, including briefings preparation, presentations collation and quarterly newsletter;
  • Be an active member of the charity committee and raise awareness of all charity events from across the business;
  • Organise and arrange conferences and functions;
  • Review intranet and make recommendations to improve service;
  • Proactive in developing systems and procedures for the reception services and facilities, maintain the office stationary and kitchen supplies;

Support The Board of Directors:

  • Provide service the MD & Board of Directors for meetings, including producing/ distributing agendas, presentations, minutes and progress chasing prior to next meeting as necessary, as well as preparation of refreshments;
  • Minute general meetings and complete research, as required;
  • Co-ordinate and distribute weekly whereabouts for the Board of Directors;
  • Arrange and organise hotel & travel arrangements for the MD and the Board of Directors;

General

  • Maintain effective communication at all times, ensuring that all information is shared with relevant Senior Managers and Directors;
  • Develop and maintain professional relationships with Senior Management and Director Team;

Technical Knowledge, Skills, Experience

  • Excellent interpersonal skills
  • Efficient in Microsoft office skills, including Power Point
  • Short hand and excellent typing skills, speed and accuracy essential
  • Excellent attention to detail and organisational skills
  • Excellent communication skills, both written and verbal
  • Professional telephone manner;
  • CRS and social media exposure;
  • Full and clean driving licence ;

Experience
What must the candidate have had experience of delivering in a role before?

  • Proven experience of supporting Exec Team;
  • A minimum of 2-3 years PA/ secretarial experience at a senior level in a fast paced environment;
  • Proven experience of supervising/ managing a small team is desirable;
  • Aware of H&S standards;
  • High level understanding of Dignity & diversity at the workplace; 

Salary, bonus, benefits
 
£28,500 – 32,000
Up to 33 days holidays
Discretionary bonus scheme
 
Working Arrangements
Hours of work, requirement for travel etc
Mon- Fri , 37.5 hrs but must be flexible to fulfill requirements of the role
