Title: Projects Coordinator  
Reports to: Projects & Construction Director
Responsible for: Projects support including administrative
Job Purpose:
This is a role where you will be directly contributing to the performance of the Projects & Construction business.
Main Duties:

  • Support all Projects on a daily basis to ensure
    • o All projects are loaded on to MoveMan
    • o Expected costs are assigned
    • o All assigned resources are loaded onto MoveMan (individual trades and contractors)
  • Manage all contractors
    • o Be a single point of contact
    • o Sign up to SLAs
    • o Ensure ALL contractors are aware of our T&Cs, especially payment terms
    • o Uniform issued
    • o DBS checks
    • o Safe Contractor
    • o Create and manage a database/directory of all trades nationwide
    • o Manage and facilitate annual reviews of contractors
  • Manage training/refresher requirements of all Project Managers and other Team Members
    • o CSCS
    • o First Aid
    • o SMSTS
    • o Other relevant training
  • Prepare contractor invoices for sign off
    • o Check expected costs on MoveMan
  • Support in the preparation of client quotations
  • Support in the creation of RAMs
  • Support Projects & Construction Director and team of Projects Managers
  • Liaise with Sales Support Lead to provide Project information for Sales Pipeline
  • Organising weekly projects meetings/TCs, circulating minutes/actions
  • Periodic client facing requirements
  • Provide handover notes and brief for holiday cover


  • Cover Admin, Ops, Sales support daily functions during cover periods


  • Attend training as required to develop relevant knowledge, techniques and skills
  • Adhere to health and safety policy, and other requirements relating to care of equipment
  • Other tasks as and when required
  • Maintain accreditations (SafeContractor, CHAS, EXOR, client portals etc)

Skill and Experience:
Experience in this or a similar role/industry

  • Understanding of and the ability to facilitate projects support processes
  • Team player, strong relationship management (internal & external)
  • Competent in IT
  • Proficient in reporting
